A geofence is a virtual boundary drawn around a real location on a digital map. Depending on the tracking package, the system can record or alert when a vehicle enters, leaves or moves within that area. Geofences are simple, but they are most useful when each one has a clear operational purpose.

- Supporting proof of visits at regular customer locations.

Choose a sensible boundary size
A boundary that is too small can generate misleading entry and exit events because GPS positions naturally vary. A boundary that is too large may record a vehicle as having arrived before it reaches the relevant place. Test each important geofence using a real journey and adjust it to suit the site.
Avoid alert overload
If every routine movement produces a notification, important alerts are easily missed. Decide who genuinely needs each alert and whether it should operate only during certain hours. In many cases, an event retained in a report is more useful than an immediate notification.
Use geofences as supporting evidence
An entry event indicates that the reporting device crossed the configured digital boundary. It does not by itself prove that a particular task was completed. Combine it with job records, driver information or customer confirmation where necessary.
Review geofences when operations change
Customer locations, depots and working hours change. Periodically remove old boundaries, verify notification recipients and test important rules. This keeps the system useful and prevents an outdated setup from creating confusion.
